Moving collections, not just boxes

When the thing being moved is irreplaceable, the move stops being about trucks and starts being about planning. That is the work we do for institutions across Southern California: universities including UC Irvine, schools, and laboratories, along with the exhibit, archive, and collection moves this page is named for. You get a walkthrough first, a written plan and quote your procurement process can approve, crews who treat a display case like it belongs in one, and the paperwork your building and campus require, handled before move day.
Custom is the job, not the exception. Odd sizes, sensitive contents, buildings with rules, calendars with no slack: institutional moves are all edge cases, which is why we plan each one from a walkthrough instead of a form. Tell us what has to move and what can never happen to it, and we build the plan around that.

Trusted by

Exhibits, archives, labs, and campuses

Exhibits & display cases.
Cases, pedestals, mounted pieces, and the exhibit itself, padded, crated where needed, loaded upright, and placed exactly where the floor plan says.
Archives & collections.
Boxed records, artifacts, and sensitive collections, labeled and moved with an itemized inventory so everything that leaves one room is accounted for in the next.
Laboratories & sensitive equipment.
We have moved labs, and we plan them like labs: instruments padded and secured, benches and storage handled in order, and the sequence built with your lab manager so downtime stays short.
Universities, schools & campus projects.
Department moves, building-to-building relocations, and summer campus projects, scheduled around the academic calendar. UC Irvine is on our client wall for a reason.

From walkthrough to reinstallation

1
Walkthrough and scope.
We walk the space with you, see every piece and every path, and flag what needs crating, extra hands, or special sequencing.
2
A written plan and quote.
You get the plan, the crew, the schedule, and the number in writing, in a form your procurement or approval process can work with.
3
Paperwork before trucks.
Certificate of insurance naming your institution or property manager as additional insured, elevator reservations, loading-dock windows, campus access: handled with your facilities team in advance.
4
The move, in the right order.
Padded wrapping, custom and adjustable crating for fragile pieces, upright loading, floor and path protection, and an itemized, labeled inventory as things leave and arrive.
5
Placement and confirmation.
Cases, equipment, and collections placed to the plan, reassembled where we disassembled, and walked through with you before we call it done.

How we protect what cannot be replaced

The methods are the same ones behind our fine-art and heavy-item work, applied at institutional scale:
Crate what deserves a crate.
Fragile, mounted, and high-value pieces get padded, custom or adjustable crating and travel upright, never flat, never stacked.
Inventory and labeling.
Every item and box is labeled and listed, so the collection that leaves is the collection that arrives, room by room.
The heavy pieces run through our safety system.
Stone pedestals, safes, oversized cases, and anything that may run over 250 pounds: photos first, extra-heavy handling shown on the quote by weight class, a crew sized for safety rather than the lowest bill, and Fleet Manager sign-off on the heaviest and riskiest pieces before the day.
Buildings protected like exhibits.
Floor runners, door-jamb padding, corner guards, and elevator protection at both ends, because the building is usually yours too.

Services

Commercial Movers

Offices, retail, and warehouses moved on your schedule, including nights and weekends. We handle the COIs, the elevator windows, and the employee crate packing.

Long-Distance Movers

Our own trucks, our own crews, straight delivery to Phoenix, Las Vegas, the Bay Area, Portland, Dallas, and more. Video walkthrough, flat written quote, no brokers.

Packing Services

Full or partial packing with materials included, done on site by the crew the morning of your move. Fragile items get individual wrapping and labeled placement.

Moving and Storage

When your dates don’t line up, we bridge the gap. Overnight holds, weeks, or months. Your things stay on our trucks or in climate-managed storage until you’re ready.

White Glove Movers

Pianos, marble, art, wine collections, antiques, and safes. Photo-first planning, custom wrapping, safe-sized crews, and heavy items priced by weight class on the written quote.

How pricing works for institutions

Built for approvals, not surprises:

  • Project moves are quoted from the walkthrough. Exhibits, labs, and campus projects get a written scope and price your approval chain can sign off on, before anything is booked.
  • Smaller jobs run hourly, at one all-inclusive rate based on crew size, with wrapping, basic tools, and standard disassembly and reassembly included, a 3-hour minimum, then 15-minute steps.
  • Extra-heavy pieces are on the quote by weight class, never discovered on move day.

Two standard notes. Monday through Thursday is our discounted weekday rate, which matters on multi-day institutional projects. And California requires Double Drive Time on local hourly work: if the drive between sites is over 15 minutes, that drive time is counted twice, disclosed on the quote before booking. Depending on the job, a trip fee may apply, and if it does it shows on the quote.

For general price tables, see Moving Cost; for a project number, book a walkthrough.

We move on your calendar, not ours

Institutions do not close for movers, so we work around the institution: evenings and weekends when the building is quiet, around public and visitor hours, between semesters and during summer breaks on campuses, and in phases when a collection has to stay partially accessible. On multi-phase projects you keep one contact from the first walkthrough to the last placement, and if a collection is relocating out of the region, we run long-distance moves on regular Western lanes with the same crating and inventory standards. See Long-Distance Movers for how those runs work, and Office Movers for the workspace side of a campus or facility project.

Honestly, who we are not the right fit for

We would rather be straight with you. If your project needs conservator-grade services, climate-controlled fine-art vaults and vehicles, or customs brokerage for an international touring exhibition, that is the territory of specialized fine-art logistics firms, and the right ones are worth their fee. What we are is the careful, insured, institutional moving partner: the crews, crating, inventory, and planning that move a collection, a lab, or a campus department safely from one place to another. For private collectors moving high-value pieces at home, our white-glove team is the better door: White-Glove Movers.
